Your personal sphere of influence:
You will support the team of the Workflow Systems and Technology (WST) research group at the Faculty of Computer Science and carry out administrative tasks relating to personnel, budget and teaching independently.
The WST research group develops data-driven methods for the analysis of organizational processes with the aim of optimizing workflows in organizations. Its focus ranges from the manufacturing industry to the service sector and healthcare.
We are a young, international team that places great value on respectful interaction and an independent way of working.
The position is initially limited to one year, but we are aiming for a permanent employment relationship.
Your future tasks:
- You are the central contact person and take care of correspondence in English and German with all interfaces (internal team, university, project partners, students, etc.).
- You will be responsible for personnel administration and support the academic staff in all administrative matters.
- You will take care of general administrative tasks (budget management, organization of travel activities, coordination of meetings, taking minutes, teaching planning, etc.).
- You will administer externally funded projects (budget and personnel).
- You will create and manage entries in databases, e.g. the publications of the FG WST.
- You will supervise guest lecturers and cooperation partners.
- You will administer the advertisement/recruiting process and provide support in the recruitment of new employees through to onboarding.
This is part of your personality:
- Professional experience in office management (preferably in a scientific/university context)
- General or vocational secondary or higher school (Matura) or commercial apprenticeship qualification and many years of office experience
- Very good IT user skills (MS Office, especially Excel)
- Very good knowledge of German and English
- High level of written and verbal communication skills
- High service and customer orientation
- Organizational skills, independence, ability to work in a team and flexibility
- Willingness to undergo further training
- Experience in handling administrative tasks for research projects is an advantage
- Experience with content management systems (e.g. Typo 3) & social media is an advantage
- Experience with SAP is an advantage

Fair salary: The basic salary corresponds to the collective agreement for university employees according to § 54 VwGr. IIIa basic level: [€ 2.699,20] gross on a full-time basis (14 times a year). The actual salary will be determined on the basis of professional experience and qualifications. The gross salary covers all quantitative and qualitative services provided by the employee.
